Rules of rooms reservations

 

These Rules are developed in accordance with the RF Government Decree No.490 “On Adoption of Regulations for the Provision of Hotel Services in the Russian Federation” dated April 25, 1997, the Law of the Russian Federation “On the Protection of Consumer Rights”, current Russian legislation and the Articles of Association of “UK Onegin Hotel” LLC in order to regulate the relationship between the contractor – Onegin Hotel (hereinafter referred to as the Hotel) and individual guests or a group of guests (hereinafter referred to as the Guests), using services of the Hotel for temporary accommodation during their stay in the city of Yekaterinburg.

 

1. Procedure for reservation of rooms in the Hotel.

1.1. The Guest or any other person on behalf of the Guest shall send a reservation request by phone/fax: +7 (343) 310-38-38 or by e-mail: hotel@hotelonegin.com.

1.2. When receiving the request the Hotel shall assign a sequential number to it, which shall be indicated in the future for all correspondence between the Hotel and the Guest.

1.3. Requests for room reservations for individual guests shall be accepted not later than 24 hours before the date of arrival of the Guest.

1.4. The reservation request shall contain the following information:

Full names of guests;

Dates and times of arrival and departure of the guest (group of guests);

Type of the room being reserved;

Method of payment (cash/non-cash payment).

 1.5. If the Guest fails to provide the information specified in cl.1.4. here of within the period specified in cl.1.3. here of, the Hotel shall reserve the right to refuse confirmation of reservation request for the Guest (group of guests).

1.6. The Hotel shall confirm the Guest’s reservation or refuse satisfaction of the request within 1 (one) hour after receipt of the reservation request. If the reservation request is confirmed the Hotel shall send the Guest a notice of the reservation confirmation (Appendix 1). In case of refusal the Hotel shall send the Guest a notice of the refusal from confirming the reservation (Appendix 2). These notices shall be sent to the Guest by fax or by e-mail.

1.7. The Hotel shall confirm the Guest’s reservation request only subject to availability of the vacant rooms of the requested category in the Hotel.

1.8. From the moment of the reservation request confirmation by the Hotel and its sending to the Guest the room specified in the confirmed request shall be considered pre-booked, except in cases provided for by cl.2 of these Rules.

1.9. Within 1 business day the Hotel shall send the Guest a standard-form contract for the provision of hotel services, in which the parties agree upon the terms of payment, the list of services, etc. The room shall be considered reliably reserved at the time of receipt of advance payment to the current account or in the Hotel cash, as well as in the cases provided for by cl.2 of these Rules.

2. Guaranteed reservation.

2.1. The guaranteed reservation means the presentation of guarantees to the Hotel by the Guest (indisputable irrevocable obligation) to pay for accommodation services and other services of the Hotel

2.2. The guaranteed reservation shall also be as follows:

2.2.1. When the Guest makes a 100% advance payment for the services of the Hotel;

2.2.2. If there is a contract in force between the Hotel and the Guest, which provides for the right of the Guest to the deferment of payment;

2.2.3. When the Guest provides an original letter from the company with the payment guarantees;

2.2.4. If there is a written order of the director of the Hotel.

2.3. Any other cases of reservation of services of the Hotel by the Guest shall be considered unguaranteed. In the case of non-guaranteed reservation the Hotel shall have the right to re-sell the room subject to a notice given to the Guest.

3. Rules of check-in of guests; check-out time.

3.1. The time indicated in these rules is local.

3.2. Check-in of the Guests shall be carried out from 02:00 p.m. of the arrival day agreed by the parties in the notice of the reservation confirmation. Check-out time is 12:00 p.m. of the departure day.

3.3. At the time of check-in the Guest shall present a notice of confirmation of the hotel room provided by the Hotel to the desk man of the Hotel.

3.4. Booking of the room confirmed by the Hotel shall be reserved for the Guest until 05:00 a.m. of the day following the day of the Guest’s check-in. In case of the Guest’s check-in from 02:00 p.m. of the arrival day and until 05:00 a.m. of the next day, the Guest shall pay for a full day.

3.5. If the guest doesn’t arrive until 05:00 a.m. of the day following the day of arrival of the Guest the reservation shall be canceled. In case of arrival of the Guest after 05:00 a.m. his accommodation at the Hotel shall be made on a first-come basis and subject to the availability of vacant rooms. In the case of non-arrival of the Guest at 05:00 a.m. of the day following the day of arrival, the Guest shall pay a penalty in the amount of cost of one-night stay in the room of the reserved category.

4. Prices for the Hotel services.

4.1. The cost of the Hotel services rendered to the Guest shall be specified in the notice of the reservation confirmation. Upon the final settlement between the parties the cost specified in the notice of the reservation confirmation shall be taken into account.

4.2. In case of absence of the indication specifying the cost of services rendered by the Hotel in the notice of the reservation confirmation payment shall be made at the prices specified in the price list of the Hotel.

4.3. When accommodating Guests with children under the age of 14 additional fee for children shall not be charged.

5. Payment procedure.

5.1. Services of the Hotel may be paid according to one of the following method at the discretion of the Guest:

5.1.1. Payment of the Hotel services by the Guest in non-cash form by bank transfer of monetary funds to the current account of the Hotel specified in the contract;

5.1.2. Payment of the Hotel services by the Guest in cash: by cash in the currency of the Russian Federation or using a bank credit card (MasterCard, Visa, Diners Club, JCB, American Express);

5.2. The payment method selected by the Guest shall be specified in the reservation request and must be confirmed by the Hotel.

5.3. Other methods of payment other than those specified in cl.5.1. of the rules are not permitted.

5.4. The Guest’s obligation for payment of the Hotel services shall be considered fulfilled in the moment of transfer of funds to the current account of the Hotel or at the time of receipt of funds to the cash desk of the Hotel.

5.5. In case of violation of payment terms and other essential provisions of these Rules by the Guest, the Hotel shall reserve the right to immediately and unilaterally cancel all reservations of the Guest by notifying the Guest and to re-sell the rooms.

6. Refusal of reservation.

6.1. In case of the Guest’s refusal (cancelling) of the reservation confirmed by the Hotel the Guest shall send a written notice of such cancellation to the Hotel using such a method that ensures receipt of such a notice by the Hotel, but not later than 24 hours before the check-in time officially established by the Hotel (14:00). In case of violation of the specified condition the Guest, who has submitted a request for reservation, shall pay a cancellation fee equivalent to the cost of one-night stay in the room of the category specified in the reservation request.

6.2. If the Guest reserved a room in the Hotel for a certain period of time and then had to leave ahead of time, the Guest shall be obliged to notify the Hotel of changing in the dates of his stay 24 hours before his check-out. If the cancellation is not made 24 hours before his check-out, the Guest shall pay a cancellation fee equivalent to the cost of one-night stay.

7. Reservation for a group of guests.

7.1. Upon arrival of a group of guests reservation requests shall be accepted not later than 10 days before the proposed date of arrival of the group. The group shall be the number of guests sending a request for reservation of 10 to 20 rooms.

7.2. In case of the Guest’s refusal (cancelling) of the group reservation confirmed by the Hotel the Guest shall send a written notice of such cancellation to the Hotel using such a method that ensures receipt of such a notice by the Hotel, but not later than 96 hours before the check-in time officially established by the Hotel (12:00 p.m.). In case of violation of the specified condition the Guest, who has submitted a request for reservation, shall pay a cancellation fee equivalent to the cost of one-night stay in the rooms of the category specified in the reservation request.

7.3. If the Guest reserved the rooms in the Hotel for a certain period of time and then had to cancel further stay, the Guest shall be obliged to notify the Hotel of changing in the dates of his stay 96 hours before his check-out. If the cancellation is not made 96 hours before his check-out, the Guest shall pay a cancellation fee equivalent to the cost of one-night stay in the rooms.

7.4. In case if the group is expected to occupy more than 20 rooms in the Hotel, the prices of such accommodation, terms of reservation payment and cancellation of services shall be stipulated by the parties separately at the time of booking services on the basis of a written request from the Guest.
